1. Who we are

Clinch is a quoting tool for UK tradespeople, operated at getclinched.com by Robarts Fox Ltd, a company registered in England and Wales. For any privacy queries, contact us at hello@getclinched.com.

2. What data we collect

We collect the following when you use Clinch:

• Account data: Your email address and name, provided when you sign up via Clerk.
• Business data: Your business name, trade, phone number, address, and logo that you provide in settings.
• Quote data: Customer names, email addresses, phone numbers, job descriptions, and pricing that you enter when creating quotes.
• Usage data: Pages visited, actions taken, and browser/device information via Vercel Analytics (anonymised, no cookies).
• IP addresses: When a customer accepts a quote, we record their IP address for audit purposes.

3. How we use your data

• To provide the Clinch service and generate quotes
• To send transactional emails (quote delivery, acceptance notifications) via Resend
• To improve the product based on aggregated usage patterns
• To comply with legal obligations

We do not sell your data to third parties. We do not use your data for advertising.

4. Your customers' data

When you add a customer's details to Clinch, you are acting as the data controller for that data and Robarts Fox Ltd acts as a data processor on your behalf. You are responsible for ensuring you have a lawful basis for holding that data and for informing your customers appropriately.

5. Third-party services

Clinch uses the following third-party processors:

• Clerk — authentication and session management
• Neon — PostgreSQL database hosting (EU region)
• Vercel — application hosting and file storage
• Resend — transactional email delivery
• Anthropic — AI quote generation (job descriptions are sent to Claude; no customer PII is included)

6. Cookies and tracking

Clinch uses session cookies set by Clerk for authentication. Vercel Analytics collects anonymised page-view data without cookies or personal identifiers. We do not use advertising or tracking cookies.

7. Data retention

We retain your account and quote data for as long as your account is active, plus 90 days after deletion to allow recovery. You can request deletion of your data at any time by emailing us or using the account deletion feature in your settings.

8. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Export your data in a portable format
• Object to processing in certain circumstances

You can download your data or delete your account directly from Settings. To exercise any other rights, email hello@getclinched.com. We will respond within 30 days.

9. Security

We use industry-standard measures to protect your data: TLS encryption in transit, encrypted database connections, and access controls. No system is 100% secure — if you become aware of a security issue, please contact us immediately at hello@getclinched.com.
